Who we are
This is the privacy statement of the Oxted and Limpsfield Music Society (“the Society”).  This privacy statement explains how we collect and use personal information about you. “Our events” refer to concerts and other activities put on by the Society.

What personal information we collect

We may collect and store contact details (names, email addresses and/or postal addresses and, where offered, telephone numbers) of attendees at our events (where we might request an attendee’s details) or where an individual has given us this data by other means.


Where we collect personal information from

We collect names, emails and/or addresses and, where offered, telephone numbers from new people attending our events who ask to be added to our mailing list. These details are stored on our database.
 

Collecting financial data
If you are using the website to purchase tickets using a credit or debit card, you will also provide payment details, which may include billing addresses, credit/debit card details and bank account details. This information is processed directly by our third party payment service provider, Ticketlab, in accordance with this Privacy Notice, and not by us.

Financial data which you may give the Society directly, for example your bank details by e-mail message, or a cheque, are kept securely on our bank’s password-protected website. Any correspondence from individuals to us containing such personal information is destroyed or deleted after use. 
 

How we use your personal information

Our database of contact details will be used to provide information about our concerts and other events, our artistic programmes and other activities and occasionally about other local musical events which we believe may be of interest to you. Such communications will be in the form of e-mail messages or post or where appropriate by telephone.


We will never pass your information on to any third party.
 

If you visit our website

We may collect an automatically populated IP address when you use our website or email service. This public IP address is a unique number which allows a computer, group of computers or other internet connected device to browse the internet. The log file records the time and date of your visit, the pages that were requested, the referring website (if provided) and your internet browser. This information is collected to help diagnose and manage the website, to audit the geographical make-up of users, and to establish how they have arrived at the website.
 

How long do we hold your information?

We will hold your contact details until you ask us to delete them.
 

Holding personal information outside the EEA

Your contact details may be held on a cloud storage service and as a result may be held on non-EU hosted servers. Your contact details will be encrypted when stored.
 

Your rights

  • Access to your information – you have the right to request a copy of the personal information that we hold
     

  • Correcting your information – we want to make sure that the information we hold about you is accurate, complete and up-to-date and you may ask us to correct any personal information about you that you believe does not meet these standards
     

  • Deletion of information – you have the right to ask us to delete any personal information about you as soon as you no longer wish to receive information about our events
     

  • Please contact us in the way set out in the Contact information and further advice section below if you wish to clarify any of the above or exercise any of these rights
